Delivery of printed and electronic copies

Printed deposit copies

Printed deposit copies have to be submitted to:

According to the dissertation regulation you will receive an acknowledgement of receipt that will be sent to the dean’s office of the respective department directly from the Dissertation Department.

 

Electronic copy

The electronic doctoral thesis can be submitted

  • via URL transmission
  • as email to dissonline@ulb.uni-bonn.de
    (maximum file size: 10 MB)
  • as CD-ROM according to ISO-9660 or in Joliet format (do not burn as “multi-session”)
  • on a USB flash drive

To be noted before delivery of the thesis

Before submitting the printed deposit copies, you need to make sure that

  1. on the front page of the title page (depending on department), you have given
    • the year of publication (Medical and Philosophical Department , Department of Economics, Department of Law and Department of Agriculture), or
    • the date/year of submission (Department of Mathematics and Sciences)
  2. on the back side of the title page (possibly on the second page), you have given
    • the names of the first and second thesis advisor
    • the day of the oral exam and
    • the year of publication for theses for the Department of Agriculture and Department of Mathematics and Sciences.

For reasons of storage, two printed copies have to be delivered to Bonn University Library in addition to the electronic copy. They have to be printed on non-ageing, wood- and acid-free paper, and durable bound.

Attention

Spiral binding and transparent film as book covers are not allowed. Print your work double-sided where possible, in DIN A5 format, with glue binding. In exceptional cases DIN A4 format may be permitted upon consultation with the Dissertation  Department.

The quality of glue binding required for submission is not being provided by all photocopy shops. Deposit copies with insufficient binding will not be accepted. Please familiarize yourself with the requirements of the Dissertation Department.

Please note

  • that the printed and the electronic version have to be identical regarding form as well as content (with the exception of personal data)!
  • that with computer application programmes the layout of a document can be influenced by the selected printer. We therefore recommend using the PDF version of the thesis as printer’s copy for the deposit copies.
  • additional requirements from your academic department, if applicable.

Publishing online – step by step

  1. Please check in time with your doctoral advisor if you should consider publishing your doctoral thesis electronically. A written declaration of consent (Einverständniserklärung) of the doctoral advisor is required for the academic department for Mathematics and Science.
  2. Please note the legal aspects and the terms of contract.
  3. Convert your thesis into PDF format and send it to Bonn University Library. We check the PDF-File and give you our feedback.
  4. Write a text for the abstract(s).
  5. Select subject headings for the topic of your thesis.
  6. Register your doctoral thesis via the online form (in German).
  7. Print one copy of the declaration that will automatically be generated as PDF file for you after filling in the online form, sign it and send it to Bonn University Library/Diss.-Online.
  8. If the requirements for an online publication are met, the Online Dissertation Department will send the confirmation of the technical feasibility of the electronic publication of your thesis and a copy of your declaration to the dean’s office of your department.
  9. Create as many printed deposit copies as required by the dissertation regulations and
    • deliver 2 copies directly to Bonn University Library, and
    • hand out possible remaining copies to the library of your institute (Academic Department of Mathematics and Science), to the dean’s office (Academic Department of Agriculture or of Philosophy or of Political Science, Law and Economics) or to the doctoral advisors (Academic Department of Medicine).

    For more detailed information please check your dissertation documents or ask at the dean’s office.

  1. We will issue an acknowledgement of receipt (Empfangsbestätigung) for printed copies we have received and send it directly to the dean’s office.
  2. The dean’s office will assess all formalities for the admission to graduation and will approve the online publication of your doctoral thesis.
  3. As soon as the approval of the dean’s office is available to Bonn University Library, your doctoral thesis will be posted on the internet. You will receive an email informing you of this. The official confirmation of the electronic publication of your doctoral thesis will be sent to the dean’s office immediately.
  4. The printed and the online version of the doctoral thesis will be catalogued and thus be searchable in bonnus - discovery service of Bonn University as well as in other regional and inter-regional catalogues.
  5. Two deposit copies will remain at Bonn University Library: one copy will be archived, and the other copy will be available for borrowing.
  6. The PDF file, abstract(s) and metadata and will be sent to the Deutsche Nationalbibliothek (German National Library).
  7. One printed copy (if available) will be given to the library of the special subject fields programme of the German Research Society responsible for your topic.

Requirements for the electronic doctoral thesis

  1. The Portable Document Format (PDF) is the presentation format on the document server of Bonn University Library. Therefore please submit your document in the PDF format.
  2. The printed and the electronic version have to be identical regarding form as well as content. Personal data are exempt from the provisions (curriculum vitae and acknowledgment). Any possibly attached curriculum vitae will be deleted on principle, unless otherwise stated.

Requirements for the abstract

When publishing a doctoral thesis online, at least one abstract (in German) in the language of the thesis has to be submitted. Additional texts in other languages are welcome. In this case, the translated title would be appropriate as well.
The abstracts will be put on the document server as introductory texts for the respective electronic publication.
Furthermore, the abstracts will be forwarded to the Deutsche Nationalbibliothek (DNB) as metadata (in German). The DNB requires that abstracts must “… consist only of one file and do not contain additional links or external files (images etc.) ...”. Therefore please prepare your abstract as simple TXT file (best done with simple text editors like Notepad) that you can copy into the online form (in German) when registering.
If you need to use special formatting (e.g. italic, superscript or subscript) or special characters (e.g. Greek letters) in this text, please use HTML code (in German) for it.

Please note that the text of the abstract must not be longer than one printed page.

Additional offer for authors

  1. You can also submit your Habilitation or previously published dissertation for electronic publication on the publication server. This has a one time fee of 40 €.

  2. If you want to give the readers of your doctoral thesis the opportunity to contact you, we will gladly publish your email address and/or the URL of your website.
  3. Should you already have published parts of your doctoral thesis elsewhere or plan to do this, we will gladly put a reference on the internet. We will need the complete bibliographical reference for this:
    • title of the periodical (unabbreviated), year, volume, issue, pages, author and title of the article, or
    • author, title of the book, place of publication, publisher, year of publication and ISBN if applicable.

    You can give us this information by filling in the line “Ergänzende Angaben” (supplementary information) of the online form (in german) or by sending us an email.

Fees

The electronic primary publication of a dissertation accepted at Bonn University is free of charge.

For the electronic publication of a doctoral thesis of Bonn University that has already been published elsewhere (secondary publication) as well as for the electronic publication of postdoctoral and other theses, a fee of € 40.00 will be charged.

In case of special effort caused by submitting files that do not meet the requirements of the library or by agreeing on additional services, fees of € 13.00 per quarter of an hour or part thereof spent working on these additional services (e.g. converting Word documents into PDF format) will be charged.
